 Administration of Faculty and Personnel Affairs

Personnel  Affairs Department was established with the establishment of the first college for female students of Female Center for Scientific and Medical Colleges and it serves all staffs and faculty whether Saudi or non-Saudi in all matters related to the procedures of personnel affairs.

Tasks and Services

1.     Opening a file for each teaching staff and Saudi or non-Saudi female employees that includes all documents and letters of each employee since the beginning of their work at the departments.

2.     Preparing a data base for all employees including the latest amendments.

3.     Preparing and updating the statistics related to members of teaching staff and Saudi and non-Saudi employees.

4.     Submitting contracting applications of non –Saudi teaching staff members.

5.     Completing the procedures of all vacations of all types (ordinary-exceptional-medical, etc) and sending them to the Deanship of teaching staff members’ affairs.

6.      Restricting vacations accounts (emergent-ordinary) when one of the employees applies for a vacation.

7.     Officially demanding the cutting off and the direct work of all employees after coming back from vacations and taking a guarantee from employees before traveling and notifying about the starting of all teaching staff and new employees of their work.

8.     Following up letters and vacations

9.     Following up attendance and dismissal and gathering delay hours and absence days and taking necessary measures about them for deduction according to regulations.

10.  Sending necessary documents concerning co-operation applications presented by departments to the Head of Co-operators committee and asking for paying their allowances to the Deanship of teaching staff members.

11.  Following up the preparation of monthly performance evaluation for new female employees and the annual evaluation for all teaching staff and female employees as well as reviewing the forms and taking relative official measures.

12.  Sending official papers concerning the participation of the employees in conferences, symposiums, lectures and courses to the administration of human recourses development at the Deanship of teaching staff members’ affairs.

13.  Sending official documents regarding transportation orders forms for all non-Saudi female employees.

14.  Sending official papers about compensation and canceling of tickets and paying the costs of education expenses of the children of non-Saudi teaching female staff.

15.  Officially sending visits and bringing forms with the documents of non-Saudi females and extending the visit; under certain conditions, for the relatives of non-Saudi female employees.

16.  Completing the procedures of computer remuneration and harm allowance and submitting necessary official papers about that.

17.  Granting all types of definitions related the female employees and certificates of medical transferring to civil and governmental hospitals

18.  Determining the bodies to which a contracting female desires to address a notification for the renewal of her contract for the coming year in her original country and submitting this to the Deanship of teaching staff members’ affairs.

Procedures related to travel and Residence documents:

·         Keep and photocopy all travel and residence documents of non-Saudi females and give each contracting female a duplicate .These duplicates shall be delivered to female non-Saudis upon travel and return in order to follow up those females from and to home country.

·         Prepare:

o    Pursuit forms such as the issuance of (issuing and determining a new residence or
requesting a travel visa of all its kinds (one time travel-final-multi)or adding attendants)

o    Letters to the concerned bodies like(letters of facilitating exit from king khaled’s airport for a female contractor after returning without a representative as well as the letters addressed to the Directorate of Passports as the amendment of a profession or name or date of birth, etc. This is besides the letters addressed to Dean of teaching staff members affairs and employees such as the extension of a visa and so on and the letters addressed to the university attorney’s such as request from the contracting female about the travel of a relative of a prohibited degree of marriage (Mahram)

o    Preparing traffic forms for departing and returning.

§  Stamping and signing roads discharges and pilgrimage passes.

§  Issuing electronic travel and return travel visas (one travel) for six or less than six months.

Submitting resignation applications and experience certificates application of the non Saudis:

Saudi female teaching staff members who desire to end their records.
