c. University Board: The Board of Directors of King Saud University.
d. University President: The President of King Saud University.
e. Data Management Office (DMO): The Data Management Office at the University.
f. Personal Data: Any information related to an identifiable natural person, directly or indirectly (e.g., name, ID number, location data).
g. Privacy Notice: A document outlining the University or its website’s method of collecting and managing user data.
h. University Affiliates: Whoever works full time or part time for the University, including faculty, staff, and students.

Article Two: Objectives of the Privacy Notice

This Notice aims to:

1. Enhance transparency and ensure that users understand how their data is managed and protected.
2. Protect user privacy in compliance with University laws and regulations.
3. Prevent misuse or unauthorized access to data.
4. Comply with DMO requirements and relevant legislative regulations.

Article Three: Scope of Application

This notice applies to all University affiliates. The DMO is responsible for the implementation and may issue further directives as deemed necessary after approval

Article Four: Collected Personal Data

Protecting the user’s privacy is a priority for the University. Therefore, this Privacy Notice is written concisely to help users understand the purpose of collecting personal data when using services from the University's website. The University collects the following personal data upon service:

• Authorization type
• Registration date
• Last access date

Article Five: Methods of Collecting Personal Data

Personal data is collected only upon the user’s approval when requesting services and after accepting the Privacy Notice. No data is collected from casual browsing.

Article Six: Purpose and Method of Processing Personal Data

The University processes personal data to:

• Verify user identity and contact details.

Article Eight: Storage and Disposal of Personal Data

Personal data is stored on the University's servers, which utilize the latest data protection technologies in line with the Saudi National Cybersecurity Authority standards. Unwanted data is securely and permanently deleted from the server; it cannot be recovered or accessed after deletion.

Article Nine: Collection and Processing of Personal Data

a‌- Collecting personal data is based on legitimate interests (improving user experience) or legal obligations.

Article Ten: Rights of the Data Subject

In compliance with Saudi Privacy Protection Laws, its executive regulations, and the University’s regulations approved by the board, the owner of personal data has the right to:

a. Know about the method and the legal framework of collecting, processing, sharing, saving, and terminating data. The framework can be obtained from this Privacy Notice or through contacts in Article Nine.
b. Access to a clear and readable copy of acquired data via email in Article Nine.(dmo@ksu.edu.sa)
c. Request corrections and updates for inaccurate and incomplete data via email in Article Nine.(dmo@ksu.edu.sa).
d. Request data termination under certain conditions, unless a legal provision or contractual requirements specify a specific retention period. Requests can be filed via the email address provided in Article Nine.(dmo@ksu.edu.sa).
e. Withdraw consent to process personal data at any time unless there are legitimate purposes that require otherwise. Requests can be filed via the email address provided in Article Nine. (dmo@ksu.edu.sa).

Article Eleven: Sharing Personal Data with Third Parties

Data is disclosed to third parties only with prior consent or as required by law, including the Personal Data Protection Law, its executive regulations, or regulations approved by the University board.

Article Twelve: External Links

The University provides external links for user convenience and needs. However, it is not responsible for the content of these links. Users are solely responsible for their actions on external sites provided by the University’s website.

Article Thirteen: Responsibilities of the DMO

The DMO is responsible for:

a. Preparing, implementing, and protecting this Notice and related procedures, as well as personal data.
b. Reviewing and updating contracts and agreements in compliance with the approved Privacy Notice.
c. Preparing and documenting necessary forms to handle and resolve privacy breaches.
d. Preparing privacy awareness programs and enhancing the awareness of privacy policies among University affiliates.
e. Adequately informing the owner of data about the purpose of collecting data.
f. Inform the owner of personal data about external sources used in the indirect collection of data.
g. Use data only for stated purposes.
h. Answer University affiliates’ questions and complaints related to this Privacy Notice.
i. Provide channels that allow the owner of personal data to access, review, and update personal data

Article Fourteen: General Provisions

1.  This Notice is effective upon approval by the University Board and supersedes all previous versions.
2.  The Board may interpret, amend, or update this Notice as needed.
3.  Unaddressed matters in this Notice are governed by the University’s regulations and instructions.
4.  The University President may issue executive procedures in connection with this Notice.
